Outlook 2010-2016: Export and import emails – solution.
In this post we would like to show you how to export emails from Microsoft Outlook and import them somewhere else. For this purpose, there is a fairly simple, but long procedure. With the help of it, you will manage to save (export) your emails as a pst file on the desktop, in order to upload (import) them at a later time in a different place.
Backup Outlook e-mails
Regardless of whether you use an Exchange server, access your mails via IMAP or POP3: backing up your e-mails should always be a priority – and should be taken into account. Server failures or data loss can occur at any time. A backup of your e-mails can therefore be worth its weight in gold, especially if you generally delete rather few mails and keep your communication in the inbox.
Regular backups of mails
Therefore, try to implement the procedure mentioned below as regularly as possible – so that you can restore a very good and, above all, up-to-date status of your emails at any time. If you ever lose your emails, you can use our tip to restore the respective status with just a few mouse clicks.
Outlook: Backup mails as data file
In order to backup your e-mails accordingly, please proceed as follows.
- Open Outlook
- Click on the file
- „Select „Open and Export
- Select import/export
- „click „Export to file
- „click „Next
- click „Outlook data file (.pst)
- „select „Next
- Select mailbox (email address of your mailbox)
- Check „Include subfolders
- „Click „Next
- Leave path unchanged, but remember it – for th purpose of findability
- „Click „Finish
- Select password optionally, if desired
With the help of this procedure you can download all your e-mails from Outlook in a data file to your computer and restore them at any time. Feel free to optionally choose a password to encrypt your communications.
Import Outlook Emails
If you now want to import the saved emails again, no matter on which computer, go through the above described procedure again and choose „import“ instead of „export“ at this point. You can now select the file on your desktop and import it accordingly. After a short time your e-mails will be restored. Be aware that depending on the size and volume, it may take a few minutes to recover all the emails in Outlook.
Conclusion
With just a few clicks, 14 in number, you will manage to backup your emails and even if the server behind it has already crashed. This way you can backup your emails, store them locally on your computer and upload them again at any time.
